Job Summary:
The Property Administrator will provide administrative support to the property management team by ensuring the efficient administration of residential, commercial, or mixed-use properties. The role includes tenant liaison, lease administration, maintenance coordination, record keeping, financial administration, and ensuring smooth day-to-day property operations.
Minimum Requirements:
- Grade 12 / Matric
- Diploma or Certificate in Property Management, Business Administration, or related field (advantageous)
- 2–5 years’ experience in property administration or a similar administrative role
- Experience within the property, real estate, or facilities management industry will be advantageous
- Computer literacy: Microsoft Office Suite (Word, Excel, Outlook) and Pastel
- Experience working with property management software will be advantageous
- Strong administrative and organisational skills
- Good numerical and financial administration skills
- Excellent communication and customer service skills
- Ability to work under pressure and meet deadlines
- Valid driver’s license (advantageous)

Duties and Responsibilities:
- Manage day-to-day administrative functions relating to property operations.
- Maintain property records, lease agreements, and tenant files.
- Prepare correspondence, notices, and reports.
- Manage incoming calls, emails, and tenant enquiries.
- Schedule meetings and property inspections.
- Assist with lease preparation, renewals, amendments, and terminations.
- Monitor lease expiry dates and notify management accordingly.
- Maintain accurate lease records and documentation.
- Ensure compliance with lease agreements.
- Act as the primary administrative contact for tenants.
- Handle tenant queries and complaints professionally.
- Coordinate communication between tenants, contractors, and management.
- Assist with tenant onboarding and move-in/move-out procedures.
- Log maintenance requests and coordinate repairs.
- Liaise with contractors and service providers.
- Track maintenance progress and completion.
- Ensure maintenance records are updated.
- Assist with rental invoicing and collections.
- Process supplier invoices and service provider documentation.
- Prepare payment requisitions where required.
- Assist with budget tracking and expense reporting.
- Reconcile accounts and maintain financial records.
- Maintain statutory and compliance documentation.
- Assist with health and safety records and inspections.
- Compile weekly and monthly property management reports.
- Support audit and compliance requirements.
- Provide administrative support to Property Managers.
- Coordinate communication with tenants, suppliers, and contractors.
- Maintain office supplies and administrative systems.
- Assist with special projects and operational requirements.
